THE RESERVATIONS.

Reservations must be done by Internet via e-mail, Fax or Telephone as you prefer and addressed to our Inbound Department.

Your quotations, reservations and/or information requests will be answered as son as possible via Fax or E-mail with prices and details about the services.

We recommend you to use the Services Codes indicated in front of each service or excursion in the Tariff. This code will help us to treat your request in a quickest and safest way.

THE CANCELATIONS...

The cancellation of a reservation already confirmed by us will be charged US$ 5.00 in general.

This penalty will rise at US$ 25.00 if the cancellation was made with less than a week before the arrival of the passengers.

Also, if the cancellation is made within 48 hours before the arrival of the passengers, US$ 25.00 for one night of "No-Show" will be added to the penalty previously cited.

THE CHANGES...

Only one modification per reservation will be allowed and will be charged US$ 10.00 each one.

THE PRE-PAYMENTS...

In some cases, we will require a total pre-payment of the services to guarantee you an effective confirmation.

THE VOUCHERS...

Once your reservation confirmed, the company selling the services should print a voucher addressed to GRAY LINE TOURS ECUADOR, with the detail of all the services purchased. Passengers must present the vouchers to the person welcoming them in the airport, asking for the identification of the GRAY LINE guides.

In the case of services not requiring an Airport Transfer, the same vouchers must be presented to the Hotel's Front Desk or Car Rent Company with a note saying :

We strongly recommend that your passengers keep with them at any time our 24h/7 assistance telephone number in case of emergency or any preoccupation or information request.

THE PAYMENTS.

All payments should be done in US dollars or by check emitted by an american account and received before the arrival of all passengers by courrier or trhough bank transferency at:

THE REFUNDS AND RETURNS...

Applications for returns of services not used, must arrive at our office in a maximum of 30 days after the final day of the excursion, after we have confirmed that the services were not used, a prompt refund will be given.

In some cases, refunds will be subject to certain administrative and cancellation charges.

For reasons of weather conditions, security, natural desasters, earthquakes, acts of war and terrorisme, major forces or any other act out of our control, we reserve the right to modify the itineraries pre-determined or suspend the services with no refund applicable.

PRICING FOR CHILDREN.

Children between the ages of 3 and 11 years old are subject to pay the same prices for the chosen services. Depending on the hotel (refer to the hotel charges section), children under the age of 3 can share rooms with their parents free of charge as well as avoid charges for land services.

ENTRANCES AND MEALS.

All entrances to museums, airline tickets, shows, National Parks tickets and meals are included only as they are outlines in each tour description.

Never includes alcoholic or no alcoholic beverages.

LUGGAGES.

One piece of luggage and one carry on piece are allowed. There will be an additional charge for any additional luggage and it will be paid directly by the passenger.

All tips for the luggage carriers at the airport and hotel are included only when stated in the program description.

GUIDE SERVICES.

All of our services are lead by bilingual guides (Spanish-English) who are specialized in their field.

If a guide who speaks another language is needed, the client must include this information when the reservation is made and is subject to a charge that will be confirmed at the same time of the confirmation..

THE TRANSPORTATION.

In all of our transfers and excursions the passengers will be driven in mini vans up to 10 passengers or GRAY LINE buses in case of groups. Under special request the services can be provided in a private automobile or limousine.

All of our vehicles are completely equipped for the comfort and safety of the passengers with audio Equipment, video equipment, air conditioning, heating, communication equipment, cellular phone, emergency insurance, luggage storage compartment, seatbelts, music, etc...

OUR OPERATION IN QUITO.

PRIVATE SERVICES :

The private excursions operate daily, from any hotel that appears in our tariff guide, with specialized guides in: Spanish, English, French, German, Italian, depending on the number of passengers the services may be provided in mini vans or buses property of the company.

SHARED SERVICES - SIB (seat in bus):

These excursions are shared with guarantee departures with a minimum 1 passenger , operating on specific days and hours that are detailed in our service manual (except Airport Express transfers), with specialized guides in English and Spanish simultaneously, depending on the number of passengers services may be done in mini vans or buses property of the company.

SIB services (SIB) depart and return only from the following hotels (except transfers) :

    • Mercure Alameda,
    • Reina Isabel,
    • Rio Amazonas,
    • J.W. Marriott,
    • Howard Johnson,

OUR OPERATION IN CUENCA, GUAYAQUIL AND OTHER CITIES.

The excursions can be done in a private, semi private or shared services.

THE RESPONSABILITIES.

GRAY LINE TOURS ECUADOR, reserves the right to modify any service in order to assure the safety and comfort of its clients.

GRAY LINE TOURS ECUADOR, claims to act only as mediators between the passengers and hotels or business that are providing the services, freeing itself of any responsibility, regarding topics between the service provided and the client.

The organizer will not be responsible for accidents, damages, or prejudices incurred under circumstances such as wars, strikes, earthquakes, or any other human or natural act that is out of our control.
